FAQ Students

In order to answer the questions that each student may have, the university has set up this Frequently Asked Questions. Most of the generic answers can be found there, but you should regularly read the updated information on the site and the social networks.

All the information concerning the evolution of the health safety instructions on campus can be consulted at this direct web address: www.ut-capitole.fr/coronavirus.

You are newly registered at UT Capitole ! A welcome site is dedicated to you : bienvenue.ut-capitole.fr. Please note : this specific site is in French only.

In case of suspicion of contamination or in case of proven COVID-19, refer to the instructions to be followed.

If you test positive, complete the online reporting form. The information collected is intended for the university's COVID Referent who will forward it to the Regional Health Agency (ARS) in order to initiate the inventory of possible contact cases.

Start of the new academic year

I am a new member of UT Capitol. How can I become familiar with the operation of the establishment?

Yes from September 3 to 7 the components welcomed their L1 students: L1 Pre-School Start Day

How can I activate my computer account, know my username and password?

Your identifiers (login and password) are used for almost all the computer accesses of the university (from wifi to email and note-taking). Activate your computer account

I am in the process of finalizing my registration but I have questions about certain parts of the file, who can I contact?

A hotline is at your disposal: 05 61 63 38 15 It is open until September 25, Monday to Friday, from 9:00 a.m. to 12:30 p.m. and from 1:30 p.m. to 5:00 p.m.

I would like to follow a preparation proposed by the IEJ, when and how can I register?

Mobility in 2020-21

I have been selected for a study mobility in 2020-21: What steps should I take?

A presentation of the main information is available on the ENT (course entitled 'International Mobility / Outgoing students): contact the host university, do your final choice of courses in connection with Toulouse Capitole University Academic Advisor, financial aid manager, etc.

I am selected for a studying mobility in 2020-21: Can the selection be cancelled? When will I know if I can leave?

Mobility in the Schengen area :
 In view of the gradual opening of intra-European borders, mobility, including during the 1st semester, can be maintained subject to changes in the health situation and on condition that partner universities accept exchange students at the start of the 2020 academic year.

If online courses are offered, please contact the SCREI to find out whether your component recognises the credits obtained in this framework.

Mobility outside of Schengen :

Please contact the SCREI, each mobility possibility will be evaluated on a case-by-case basis. Therefore, we invite you to be patient before incurring any expenses related to your future stay.

I am selected for a studying mobility in 2020-21: Will I have time to do the visa application procedure?

This will depend on the evolution of the health situation.

I am selected for a studying mobility in 2020-21: Do I have to leave if I sign the UT1 commitment letter ? (Covid-19 risk zone)

This document indicates your commitment to study at one of Toulouse Capitole University ‘s partner universities. If the health crisis persists at the time of your departure, you will no longer have to leave.
 

Libraries

Are the libraries open ?

In times of pandemic, the libraries are open to members of the UT Capitol community and teacher-researchers in Higher Education :

Arsenal : the library is closed from October 2 until an undetermined date, but you can borrow documents remotely.
Manufacture des Tabacs : Monday to Friday from 9:00 am to 8:00 pm and Saturday from 9:30 am to 8:00 pm.
Garrigou and Boutaric : Monday to Friday, from 9 am to 6 pm.

Readers outside the Toulouse Capitole University can borrow books by reserving them from the Archipel catalog. They will be delivered to their home university.

How do I carry out my active library visit TD?

Didn't complete your TD between August 31 and September 11? Do it online until October 16. You will receive an email on your institutional mailbox with the link to complete the TD.

Can I view full-text online documentation?

Yes, you can find all the documents you need for your studies on our documentation portal.
The university libraries have more than 300 000 e-books. They subscribe to more than 50 000 online journals and databases..

How can I get help with my documentary research?

During the exceptional closure of the BU Arsenal, student tutors will also accompany you remotely, by videoconference from Moodle.

The Eikon station of the BU Arsenal is accessible by reservation (after identification) for autonomous use.

Who do I talk to if I'm having office application problems?

Contact the " A question? "service » and give details of your problem (response within 24 hours).

How do I log in to view online resources?

If you are a student :
Authenticate yourself using your login and password.
Login => user: last 8 digits of the student number
Password: usual password.

If you are a staff member of the university :
Login => user: usually the initial of your first name followed by the letters of your last name.
Usual password to connect to your mailbox for example.

How do I view my player account?

Connect to Archipel, the catalogue of the libraries of the Toulouse university network.
Using your identifiers, a login and a password, authenticate yourself to access your personal space.

My scholarship application has been validated late, to whom should I send it?

In order to allow for the payment of scholarships, your 2020/2021 Conditional Fellowship Notification should be sent to bourses@ut-capitole.fr

Is the payment of my scholarship assured?

The processing and payment of scholarships and grants continue to be ensured. The processing of the DSE (Dossier social étudiant) continues.

What are the food aid arrangements?

The CROUS, sets up "e-vouchers for basic necessities" in partnership with the Carrefour brand, for the purchase of foodstuffs and basic necessities:

I am in financial difficulty or I need psychological care, who are my contacts?

The SIMPPS and the CROUS ensure permanence.

Health & Sanitary Measures

I present symptoms of Covid-19 or I had a contact of more than 15 minutes without mask or distance with a contaminated person: what should I do?

All students who find themselves in this situation are encouraged to read the document entitled "Instructions for Students in case of Suspected or Confirmed Covid-19 Contamination".

The first step is to immediately contact a doctor and perform a screening test. While waiting for the results, I stay at home.

At the same time, I inform my schooling. I can send a medical certificate to justify my absence if the doctor has issued one.

I am positive for the Covid-19 test: how do I inform the university?

If the result of your screening test is positive, I inform the Covid Referrer at the university by filling out the form provided. Your declaration will remain confidential, but the information will be transmitted to the ARS (Regional Health Agency).

If I have not already done so, I will send the medical certificate to my school. I stay at home to protect my relatives and other students.

I'm concerned about my health security, how can I find out about the terms and conditions of the protections that have been put in place?

Can I get a medical appointment with SIMPPS?

The Simpps Arsenal is open again since the beginning of the academic year.

You can call 05 61 63 37 25 for any health, social or psychological questions, Monday to Friday from 8:30am to 5pm, for advice, guidance or an appointment depending on your situation.
 

Handicap

I have a disability, do I need to request an extension of my exam accommodations?

I have a temporary or permanent disability and I would like to benefit from accommodations/extend my accommodations:

INTERNSHIPS


► In view of the exceptional circumstances, priority will be given tothe administrative processing of compulsory traineeships.

I have a compulsory internship to complete to validate my final diploma. I haven't been able to do it yet. Will I be able to extend it beyond October 31? What criteria do I have to meet? 

  • To be able to benefit from an extension of the internship beyond October 31, I must be enrolled in a Master 2 or a professional degree with a compulsory internship. I must also have the agreement and validation of my training manager.

  •  I am not concerned if I have already completed an internship allowing me to validate my training,
Only internship agreements signed by the end of July at the latest will be eligible for extension beyond 31 October. These must not go beyond 31/12/2020 (deadline for students to be covered by social security in relation to their registration at the University). The duration of the internship may in no case exceed 6 months.
 

My internship agreement has been validated by the university. The host structure will only maintain my internship if I can work from home. Can I do this internship?

Yes, in order to respect the containment measures, the university validates this internship modality.

My internship must take place abroad. As I can no longer travel, the host organisation offers me teleworking. Can I set up this modality for an internship initially planned abroad?

If the company offers it, telework can be set up from your place of residence in France or in the EU area.

What are the administrative arrangements I have to comply with if I telework as part of my traineeship?

The host organisation will send me in writing the telework modality to which I have to give my agreement. It will not be necessary to make an amendment to the traineeship agreement if it is a simple modification of a working modality. However, we would draw your attention to the fact that teleworking implies that you must remain at the disposal of the structure and comply with the provisions of the initial traineeship agreement. You must remain available for your host structure and respect the schedules defined by it.

I just found an internship, can I get a validation from the university to start it?

Your agreement can be validated as long as the reception structure offers you an arrangement that respects the instructions of social distancing or an assignment in telework.
  • The Ministry of Higher Education reminds companies of their responsibility to rethink their organisations in order to :
  • Limit meetings to what is strictly necessary,
  • Limit employee groupings in small spaces,
  • Cancel or postpone unnecessary trips,
  • Adapt work organization, particularly through team rotation.

During the internship, if these conditions are not met, if you feel insecure, you can exercise your right to withdraw.

Regarding the creation of your internship agreement, you must follow the usual procedure.

TSE and TSM students follow the procedure indicated by their attachment component.

Your agreement will be returned to you signed by the university in return.

Following the measures taken by the host structure in which I did my internship, the initial duration of my internship was shortened. Will I be penalized in the validation of my year and in my graduation for the 2019-2020 academic year?

No.
  • Either it will be possible to resume or start your internship for a period of at least 2 months.
  • Or, failing this, you will be offered to write an applied thesis to be submitted at the beginning of the school year to replace your internship report.

The structure in which I have to do my internship asks me if the university suspends all current internships?

In agreement with the host structure, the student can continue his internship if the structure proposes teleworking or if it implements an arrangement to respect social distancing.

The Ministry of Higher Education reminds companies of their responsibility to rethink their organisations in order to :

  • Limit meetings to what is strictly necessary,
  • Limit employee groupings in small spaces,
  • ACancel or postpone unnecessary trips,
  • Adapt work organization, particularly through team rotation.
During the internship, if these conditions are not met, if you feel insecure, you can exercise your right to withdraw.
